Job Responsibilities

  • Handles the day-to-day relations with the media, including media queries, media interviews, and press conferences, preparing news releases and media kits etc.
  • Cultivates and maintains relationships with key news media at local and international levels and assisting in organizing media events and promotional activities.
  • Responds to and follows through on requests for information from the media and the public.
  • Assists in planning and disseminating external communication of information through various media that is designed to keep public informed of events, initiatives, accomplishments, or points of view.
  • Writes, edits, reviews, and assures appropriate distribution of communication/public relations materials including news releases, articles, speeches, on-line information services, and broadcast scripts under supervision.

Temporary Grants & Contracts Coordinator (62101)

Position Summary

Provides support, coordination, and basic analysis for research administration, specifically: proposal submission, post-award reporting, contracts review, tracking, and filing. Assists with contract and amendment requests as well as leasing with different departments and institutions to process and execute research contracts in a timely fashion.

Job Responsibilities

  • Assists in the process of identifying extra mural funding for the institution and guides LPIs (Lead Principal Investigators) in the application process.
  • Uses tools to assist with reviews of sponsor RFPs, grant proposals and progress reports.
  • Coordinates, tracks, communicates, and monitors deadlines to ensure compliance with reporting requirements.
  • Provides administrative support for grant/project lifecycle matters, e.g., formal acceptance notifications, project transfers, monitoring reporting requirements and assisting with the facilitation of project changes, amendments and extensions.
  • Drafts statistics for management reports, benchmarks, and other reports to management to support decision making.
  • Tracks and records changes to sponsor guidelines, internal policies and procedures.
  • Schedules appointments, meetings and videoconferences as required. Records and transcribes minutes of meetings.
  • Reviews and coordinates negotiation of contracts, including, but not limited to: grant sub-contracts, material transfer agreements, non-disclosure agreements, standard research agreements, data use agreements, as applicable and appropriate.
  • Assists with the process to review of all grant proposals for internal and external regulatory compliance, sponsor requirements, and appropriateness of proposed research plans. Works closely with faculty to resolve discrepancies.
  • Reviews all aspects of a grant proposal to ensure consistency of information presented and to ensure highest-quality proposal submissions.
  • Provides administrative support in collating, filing, and disseminating these programs.
  • Performs other administrative tasks as assigned, including providing coverage as needed.

Education

  • Bachelor’s Degree

Experience

  • Bachelor’s degree in any discipline (preferably life sciences, law or management) with 8-9 years of relevant experience in an administrative role.
  • Experience working in a higher education research-funding environment, medical college, in grant support capacity is preferred.

Knowledge, Skills and Abilities

  • Experience in drafting, negotiating, and interpreting research contracts.
  • Excellent communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
  • Proficient in MS Office Suite with an emphasis on PowerPoint, Excel and Word.

Temporary Faculty Support Assistant

Job Responsibilities

  • Provides word-processing, spreadsheet and presentation services including preparing correspondence from hand or type-written notes, editing and formatting documents, e.g. presentations, reports, manuscripts and research proposals.
  • Provides specific support (preparing and distributing documents/posters, arranging for rooms and catering etc.) for regular or adhoc events, activities or projects undertaken.
  • Assists with maintaining the electronic calendars and schedules appointments for faculty members as required.
  • Submits on-line room reservations and provides other logistical support for meetings such as compiling and distributing material and if required, recording and transcribing meeting notes.
  • Initiates shopping carts related to the educational activities of the Division ensuring compliance with WCM-Q financial policies and procedures.
  • Assists faculty members with completion of travel and business expense reimbursement claim forms and follows up on any queries relating to these forms.
  • Assists faculty members with completing forms for various types of leaves and liaises with the College’s travel agents to co-ordinate the travel arrangements.
  • Submits request forms to the FHSS to arrange local ground transportation for faculty members for educational or business purposes as required.
  • Maintains faculty area workroom ensuring appropriate equipment, stationery supplies and materials are in place. Checks and maintains stocks for paper/toner, reports technical problems with photocopier, scanner or fax machines via ITS ticketing system.
  • Liaises with the staff in the Office for Curriculum Support for the weekly course schedules and other course or clerkship information required by the faculty members.
  • Responds to inquiries from faculty members, staff, students and external organizations. Provides information based on own knowledge or re-directs inquiry to other staff as appropriate.
  • Receives and distributes mail and coordinates with the mailroom for courier services as required.
  • Maintains the inventory of white coats for faculty members and coordinates the laundering with the FHSS.
  • Provides cross-coverage within the Division, including assisting with the proctoring of exams for the Medical Program as directed.
  • Performs any other job-related duties as assigned.

Education

Overview / Job Description

      • This position coordinates and monitors the planning and logistical requirements of continuing education activities as well as the completion of organizational and administrative tasks for ongoing projects.

        Job Responsibilities

        • Supports development of accredited activities in the Division providing on-site support for each activity, attendance, the distribution and collection of evaluation feedback, faculty disclosure and commercial support acknowledgement ensuring compliance.
        • Monitors and maintains an organized system for tracking and maintaining accreditation related records.
        • Completes various sections of the application requirements and other accreditation material in the portal.
        • Creates and reports results of surveys and audience response systems.
        • Prepares the logistical coordination of events and activities relating to the CPD Division including catering, room reservation, ITS and facilities requirements.
        • Plans and organizes travel arrangements for the division: flights, hotel room reservations and ground transportation for business and educational purposes, drafts travel itineraries.
        • Maintains electronic calendars and arranges meetings (including scheduling rooms and videoconferences, compiling agendas and materials).
        • Records and transcribes the divisional and Committee minutes of meeting as and when needed.
        • Assists faculty and/or staff from other divisions with any queries relating to the CPD Division, either by providing information based on own knowledge or directing the query to other staff or faculty as appropriate.
        • Serves as the first contact to incoming telephone calls, e-mails and in-person queries.
        • Maintains the electronic filing system of all documentation on the shared folder.
        • Performs daily tasks such as scanning, photocopying, preparing gift bags to speakers and learners.
        • Orders and maintains appropriate inventories of office supplies, booklets, brochures and other CPD division related material.
        • Provides customers service support to activity attendees and maintains a professional customers relationship with all stakeholders.
        • Circulates activities’ announcements as assigned.
        • Initiates shopping carts ensuring compliance with WCM-Q financial policies and procedures as well as maintaining and updating the CPD division’s financial worksheets.

        Education
