Overview / Job Description

SUMMARY

Stifel’s Alternative Investment Operations team is looking for a service-oriented individual to join our growing team. In this role, the Operations Associate- Alternative Investment Operations performs a variety of Alternative Investment clerical duties. This position requires limited knowledge of office management systems and procedures and and may include a combination of answering telephones, bookkeeping functions, typing, office machine operation, and filing. The ideal candidate will have strong analytical and communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Receives broker/dealer changes, ownership changes, and internal agent changes and processes in a timely manner, in accordance with departmental policy procedures.
  • Reviews the accuracy of all forms submitted by branch personnel.
  • Images and indexes documents received.
  • Calculates account value changes for alternative investments and makes appropriate entries as needed.
  • Responsible for setting up security numbers with BETA and ensuring coding is correct.
  • Answers telephones, directs calls and takes messages.
  • Compiles, copies, sorts, and files records of office activities, business transactions, and other activities.
  • Operates office machines such as photocopiers, facsimile machines, voice mail systems and personal computers.
  • Computes, records, and proofreads data and other information such as records or reports.
  • Maintains and updates filing, inventory, mailing, and database systems, either manually or using a computer.
  • May answer correspondence, as directed.
  • Reviews files, records, and other documents to obtain information to respond to requests.
  • Performs other duties as assigned.

QUALIFICATIONS 

  • High School Diploma or equivalent required; Bachelor’s degree with financial emphasis preferred.
  • 0-2 years professional business related experience required; 1-2 years of banking or financial services experience highly preferred.
  • Ability to learn general understanding of rules/regulations and Stifel policies that pertain to the department.
  • Initiative and self-direction when performing tasks with ability to organize and prioritize effectively in order to meet deadlines.
  • Able to handle large workload that varies based on projects and heavy volume periods.
  • Experience working with Digital Documentation and Performance Reporting software.
