We are looking for a professional Front Desk support administrator, and the role is pivotal to our organisation.

You are the first point of contact for any guests. This includes both internal and external visitors.

The duties include offering administrative support across different brands/agencies other than front desk support.

You should also be able to deal with emergencies in a timely and effective manner while streamlining office operations.

Multitasking and stress management skills are essential for this position. This role requires you to be flexible.

Core Function and Responsibilities


Receive Visitors


  • greet visitors appropriately.
  • professionally determine the visitor’s needs.
  • maintain visitor record (face ID scanning and prevailing Safe Management Measures).
  • offer refreshments to visitors where appropriate.
  • direct visitors to the correct person and meeting room.
  • ensure back up when absent from reception desk.

Answer Phone Calls and Handle Walk-in Queries and Requests


  • answer and address incoming phone calls and requests in a timely and polite manner.
  • determine the purpose of the call or walk-in inquiries.
  • deal with queries and provide correct information promptly.
  • forward and direct the queries to the appropriate person.
  • take and deliver messages accurately and completely.

Manage Incoming Mail & Courier (Local & Overseas) Requests


  • sort and distribute incoming mail.
  • prepare outgoing mail for pick-up courier.
  • organise pick-up and courier deliveries.

Monitor Front Desk Security


  • monitor people coming and going through the reception doors.
  • access to the office is granted through a Facial Recognition system.
  • record, prepare and issue building access passes to employees.
  • prepare 3-month QR code office access form for freelancers, contract, temporary and interns.
  • be aware of and report suspicious activity.

Prepare new joiner, leaver or transferee Administrative Work


  • raise IMAC tickets.
  • work with IT to fulfil the IMAC request.
  • prepare new joiner admin onboarding.
  • issue light stationery or IT peripheral to new joiner.
  • assign lockers.
  • arrange printing of business card.
  • record and maintain office assets list.
  • prepare offboarding for leavers.
  • collect and record return of office assets.

General Financial Administrative Work


  • monitor and record office purchases.
  • order pantry purchases (Level 3/4 and APAC management area).
  • prepare purchase orders.
  • prepare new supplier form.
  • coordinate payment with the vendor.
  • prepare and submit senior leaders’ claims.
  • prepare and maintain spreadsheets and database.
  • basic coordination on invoice-related duties.

Basic Clerical and Office Maintenance Support


  • photocopy and collate documents.
  • maintain equipment and report any malfunctions.
  • Monitor and order office supplies.
  • update and maintain file documents accurately.
  • organise office cleaning schedule.
  • schedule and follow up on maintenance work (watering of plants, aircon, and copier).

Organize Meetings


  • book meeting room.
  • inform participants.
  • set up a meeting room with necessary stationery and equipment.
  • organise catering or food for the meeting.

Reception Area Maintenance


  • keeps the reception area clean and neat.
  • it must be tidy and presentable.

Ad-hoc Work


  • organise events.
  • support continuity among work teams.

To be successful as a professional front desk administrator, you should have a pleasant personality, as this is also a customer service role.

    • At least 5 years or more working experiences at front desk support or secretarial support to management level and a team.
    • Diploma, A level holders, and above in any discipline.
    • Punctual with strong attendance history.
    • Good time management skills.
    • Comfortable multi-tasking and prioritising tasks without guidance.
    • Excellent interpersonal skills.
    • Excellent communication skills at all levels.
    • Experience with administrative and clerical procedures.
    • Advanced MS Office including Word, MS Outlook, Excel, PowerPoint.
    • Takes initiative and with the ability to work independently.
    • Able to contribute positively as part of a team, helping with various tasks as required.
    • Diligent and willing to work beyond normal office hours, where required.
