Job Purpose

Under the day to day supervision of Retail Outlets Leasing Manager, the job holder is responsible for collecting various type of payments annual rent, service changes, admin fees, penalties, bank guarantees, additional rent, drawings & utilities from all respective retail tenant at ENOC/ EPPCO Retail Sites & ZOOM Stores (110+ companies and 400+ leases)

The job holder is responsible to reconcile and prepare final settlement for each account. The job holder shall issue and monitor all VAT invoices related all type of charges.

Principal Accountabilities

•    Handle & manage payment collection for various leasing income on regular basis, such as: Rents, Additional Rents, Service fees, Penalties, Utilities and Project fees.

•    Develop and generate records tracking process for all type of payments and prepare invoices and ensure timely collection for various payments as per the agreed terms and conditions in the lease agreement.

•    Supervise collection process with finance team and tenants related to any outstanding payments.

•    Manage “Monthly Sales Reports” and “Annual Audited Sales Reports” collection and report submission on day to day.

•    Manager all communication sent to tenants (per brand and per site – more than 430) regarding utility payments and Additional Rent payments

•    Ensure all dues are monitored and collected on time to maximize the recovery

•    Responsible for smooth collection process on the business

•    Responsible for constant Follow up with tenants on dues

•    Responsible to monitor and Issue late payments letters and invoices

•    Manage the reconciliation of all VAT payments with finance and tenant

•    Responsible to solve problems with tenants related to wrong transactions / duplicate billing and how to read invoices.

•    Constant follow-up with Return cheques if there is no balance in customer account

•    Educating tenants about facilities and mode of payment

•    Reprint invoice and email to those tenants who did not receive the same to effect the payment in time.

•    Inform the customers to email the bank deposit slips with their customer code and invoice nos. to those who remit at our bank account.

•    Monitor all online payment through Property Management System (B2B module)

•    Responsible to achieve the target set by the management

•    Manage utilities collection related to Electricity, Water, Sewerage & LPG for all applicable tenants.

•    Communicate with tenants about their bank guarantee expiry and get the renewed one in time.

Experience

•    Diploma holder or relevant Degree.
•    Excellent Communication & analytical skills
•    Excellent knowledge and skills in the use of Microsoft package (Excel, Word & PowerPoint) and Oracle based applications

Duties and Responsibilities

Office Administration

•    Manage IT Group/Line managers’ office communications.
•    Process all business correspondences including faxes, emails and in particular, documents of a confidential nature.
•    Establish and maintain effective office procedures for mail, message taking, document distribution, filing, etc.
•    Organize and maintain (paper and electronic) all office documents, contracts, vendors, staff records and other document types.

Financial Support

Job Purpose

The job holder is accountable to oversee the day to day performance and operation of several stations (EPPCO/ENOC), reporting directly to the area manager.Through close supervision of the site in-charge the job holder is responsible to set, monitor and achieve the goals and targets both financial and performance standards and report the same on a daily/weekly as required by the area manager.

Principal Accountabilities

Financial and controls

• Understand and manage the annual targets and budgets approved by the Area Manager in his assigned sales area.
• Review the targets and budgets against actual and track the performance of the site/s on monthly basis.
• Review and present the site/s CTO/OPEX (contribution to overheads) and analyse and justify monthly to the Area Manager
• Conduct detailed analysis on monthly basis of sales fuel by reviewing the volume reported in COGNOS Vs TURPAK, highlight the concerns and report the findings to Retail Area Manager.
• Responsible to monitor all pending statements in Dynamic, coordinate with IT and Finance to achieve month end closing.
• Carrying out inventory spot checks of cards, cash and high value items in stock. Handle stock takes on a periodical basis and conducting investigations as required for overage or shortage and providing explanations for the same.
• Monitoring tank-dip reconciliations for the site/s on a regular Monthly basis.
• Reviewing float cash by site/s volume and requirement. Any additional requirement must be agreed, set and approved by the area manager.
• Review, control and approve the petty cash expenses at the site prior to am approval.
• Review, control and approve the overtime of the site staff entered by the site prior to AM approval
• Review and enter the In charges OT/acting allowances overtime prior to AM approval.
• Develop and implement performance target projection in the next budget period
• Conduct periodical IMS/HACCP internal audits to retail outlets
• Propose cost saving initiatives and monitor the results in the monthly OPEX reports.
• Conduct area development analysis on monthly basis and present the findings with recommendations – Area competitors mapping
• Monitor and manage staff monthly incentives programs
• Fully responsible for the opening of NTI (opening/closing) within the established timeframes under the direct supervisor of the Area Manager.
Staff Administration
• Ensure that staff attendance, annual leave, sick leave and emergency leave are monitored and managed in line with site/s requirement.
• Approve/ confirm leave for all staff of the c-store, forecourt. (Shift In Charge and CSA) site in-charge approvals to be done in coordination with the area manager.
• Manage staff transfers as per business requirement within the assigned field.
• Ensure that all employees are issued with ID cards, valid visas and health and ATM cards in line with the country’s/company requirements
• Staff documents collection and submission – passports
• Manage and develop staff by coaching, counselling, guiding and conduct regular staff meeting.

Materials & Supplies

• Manage site/s rechargeable material and ensure that all supplies are issued in line with company standards.
• Ensure that all store/site/s receive materials and supplies for sale and maintenance
• Ensure that all materials and supplies are ordered and received in time.
• Review the site purchase orders and approve the orders in the system.

Maintenance of assets

• Ensure that all maintenance calls are made and all equipment is in proper working condition.
• All maintenance calls are followed up and jobs completed and signed off.
• Coordinate directly with Retail Maintenance on solving any pending issues within the assigned area.

Experience

Bachelor’s degree holder (Business administration, Marketing or Finance) with minimum of 6-7 years working experience in similar field
• Excellent written and verbal communication
• Proven management and interpersonal ability (hands on retail experience managing a retail outlet and staff)
• Ability to motivate individuals by participating with them in their daily routine.
• Demonstrate the ability to lead by example in managing a station and handling staff etc.

Responsible for assisting the laboratory chemists and QA/QC Manager in the operation of the laboratory of Lubricating Oils and Greases in the plant.

Principal Accountabilities:

  • Draws samples of raw material, packaging material and finished products as per the directives of the lab chemist and the QA/QC Manager.
  • Maintains the laboratory and laboratory equipment/apparatus in a absolutely clean condition at all times.
  • Ensures proper storage and easy recall of the laboratory retension samples.
  • Ensures the adequate supply of laboratory chemicals is available for testing by replenishment from the store at proper intervals.
  • Assists in ensuring minimum batch release time.
  • Participates in the implementation of the HSE policy of the company and follow safe working practises across the plant. Supports the laboratory management system.

Minimum Requirements

  • High School certificate &/or apprentice in laboratory from a recognized institute.
